How to Make a PDF Searchable (OCR)

August 12, 20264 min read

Scan a paper document and you get a PDF that looks right but behaves wrong: you can't search it, select a line of text, or copy a paragraph out of it. That's because a scan is just an image — there's no actual text in the file, only a picture of text. OCR is what turns that picture back into real, searchable text.

What OCR actually does

Optical character recognition reads the shapes on each scanned page and works out what characters they represent, then adds that as an invisible text layer positioned exactly over the original image. The page still looks identical — you're not replacing the scan, you're layering real text underneath it so the document becomes searchable and selectable without changing how it looks.

How to make a PDF searchable

  1. Open the OCR PDF tool.
  2. Upload the scanned PDF.
  3. Let it process — this reads every page and builds the text layer.
  4. Download the searchable PDF.

What affects accuracy

OCR works best on clear, well-lit, reasonably high-resolution scans of common Latin-alphabet languages. A crooked scan, a low-quality fax, or handwriting will produce noticeably worse results than a clean scan of typed text — the same way a blurry photo is harder for a person to read too.

After OCR

Once a PDF has a real text layer, it works like any other PDF: you can search it, select and copy text out of it, or convert it to a Word document with actual editable text instead of an empty page. Trying to convert a scan to Word without running OCR first produces a document with no text in it at all — OCR is the step that has to happen first.
